Start with a short cover sheet
Record the business name, activity, Jazan project location, area and authorised contact. State whether the case concerns initial setup, issue, renewal or resolving a comment. If documents identify a specific managing authority, include it; jurisdiction is not assumed from the city name. This cover sheet supports review and does not replace a government form.
Build an index identifying the current revision
Name each file by subject, date and source, such as current layout, previous report or execution quotation. Preserve originals separately and identify the working revision. If two versions differ, explain why when known. Do not delete one before understanding its relevance, and do not alter an official document merely to match the appearance of other records.
Separate premises records from work evidence
Organise business and premises information, then plans, supply and installation tests, and finally applications and comments. This is a suggested review structure, not a mandatory list for every activity. A section may be empty because work has not started or the document does not apply. Record the reason so absence is not mistaken for a missing required record.
Link every comment to resolution evidence
Keep each comment’s exact wording, source, date, response owner and required action. Link the document, photograph or work addressing it, stating whether a specialist reviewed it or it was submitted. Do not mark “complete” merely because a file was uploaded: rectification may be finished while review or approval is still pending, an important distinction for project tracking.
Share needed records without login credentials
For initial review, send a summary and relevant records, not passwords or verification codes. The authorised person should retain account access, with an agreed process for actions requiring their presence or suitable authorisation. If a screenshot explains the comment, conceal unrelated details. Controlled sharing simplifies coordination and reduces unnecessary copies of documents.
Turn the file into a work and handover plan
After review, Client First identifies required plans, installation, testing, reports or certificates and relevant licence and permit follow-up. The official Salamah service links documents to the activity, so a complete case is not priced from document names alone. Request deliverables, necessary approvals and stage responsibilities, then retain an updated index of completed work and pending follow-up.
Questions to help you get started
Is this the official document list for every business?
No. It is an information-organising method. Official requirements come from the relevant activity service, application status and authority responsible for the premises.
Should I send every document at first contact?
Start with the case, activity, location and need, plus the relevant comment if available. We identify useful review files without requesting account credentials.
What if all my records are photographs?
Group clear images by subject and identify any available original. Their usability and any further documents needed are reviewed before a final quotation.
